How to Submit a Free Estimate Request

Getting started with a move can be overwhelming, but Raja Pindah's Free Estimate Request Form is here to make it easy. Our simple guide will help you submit your relocation requirements and receive a customized estimate.

STEP-0: GET STARTED

Begin your relocation journey by visiting www.rajapindah.com and clicking on the "Free Estimate Request" button. This initiates the process of receiving a personalized estimate for your move.

  • Go to the website www.rajapindah.com
  • Click on the "Free Estimate Request" button. This will launch a form wizard named "Request for Estimate (RFE)" with six simple steps to follow.
STEP-1: PROVIDE YOUR INFORMATION

Let us know who you are and how we can reach you. By providing your name, contact details, and any specific instructions, you create an account and kickstart the estimation process.

  • Click on the customer card, where you will find two menus: (a) Customer Type and (b) Customer Details.
  • Select your customer type: Residential (for private homes) or Commercial (for offices or businesses).
  • After selecting the customer type, click on the "Next" button located in the bottom right corner of the card.
  • Fill in the required fields in the "Customer Details" menu, including Full Name, Email, Mobile, WhatsApp (if applicable), and any special instructions you want to convey.
  • Click on the "Next" button. You will see a message confirming that your account has been successfully created, and you will proceed to Step-2.
STEP-2: ORIGIN LOCATION DETAILS

Tell us where you're moving from. Provide details about your current location, including address, floor level, parking availability, and building access. This ensures that we consider all logistical aspects for an accurate estimate.

  • You will see the "Origin Location Details" menu.
  • Select an option from House, Apartment, or Storage, indicating where you are moving from.
  • Type your address in the "Pick up" field. This is an autocomplete field that will suggest your address as you type. If your exact address is not shown, at least select the nearest area.
  • Choose the floor option (Basement, Ground floor, or specific floor) by clicking on the +/- buttons.
  • Select a parking availability option that matches your situation (Onsite Parking or Distance from Building Entrance).
  • Choose a "Building Access" option (Lift Access or Stair Access). If you select Lift Access, further specify the lift size (Narrow, Medium, or Wide). If there is no lift, choose the Stair Access option and specify the width (Narrow, Medium, or Wide).
  • Click on the "Next" button to proceed to the next step.
STEP-3: DESTINATION LOCATION DETAILS

Share where you're headed. Specify your destination location, select your expected moving date, and prioritize your job requirements. This comprehensive information helps us tailor our services to your needs.

  • This step mirrors the previous "Origin Location Details" step.
  • Choose the appropriate option for your destination (Apartment, House, or Storage) and fill in the address details.
  • Select your Expected moving date from the calendar. If the exact date is unknown, choose a tentative date.
  • Select a Job priority option that best suits your needs.
  • Click on the "Next" button to proceed.
STEP-4: ITEMS

List and categorize the items you plan to move. Whether it's furniture, appliances, or personal belongings, ensure everything is accounted for to receive an accurate volume-based estimate.

  • You will see three separate cards under the Item card: (a) Items category, (b) Select or add items with search option, and (c) Your selected items, with a minimum volume requirement of 10 CBM.
  • Honestly add the items you wish to relocate to ensure an accurate estimate. If unsure, contact Raja Pindah for assistance.
  • You can select items by categories or individually. Use the search box to find specific items, and if not listed, contact Raja Pindah for guidance.
  • Note: The minimum moving volume requirement is 10 CBM. If your items do not meet this requirement, contact Raja Pindah for assistance.
  • After adding your items, click on the "Next" button to proceed.
STEP-5: OPTIONAL IMAGE UPLOAD

For added clarity, you have the option to upload images of your items. This visual aid assists in assessing your belongings and ensures an even more accurate estimate.

  • This step is optional but recommended.
  • Take pictures of your items based on categories (e.g., bedroom, lounge, kitchen) and upload them for reference.
  • Providing additional information through images can help in estimating accurately.
  • Click on the "Next" button to proceed to the next step.
STEP-6: CHOOSE EXTRA SERVICES

Select any additional services you require, such as packing, unpacking, or furniture assembly/disassembly. Tailor your estimate to include the specific services that will make your relocation seamless.

  • Raja Pindah offers various extra services, such as packing, unpacking, insurance, furniture disassembly, and more.
  • Select the desired extra services for both "Origin Location" and "Destination Location" by specifying quantities.
  • Click on the "Next" button to proceed.
STEP-7: PREVIEW & SUBMIT

Before sending your request, review all provided information. Make any necessary corrections, and once satisfied, submit your request. Sit back and relax as we handle the rest!

  • Review all the provided information on the page.
  • Ensure accuracy and read Raja Pindah's "Terms and Conditions" provided at the bottom of the page.
  • If any mistakes are found, use the "Back" button to navigate to the relevant step and make corrections.
  • Once satisfied, click on the "Send Request" button. Your request will be submitted successfully.
  • You will receive an instant email acknowledging your request submission.
  • Raja Pindah's office will promptly receive your request and contact you to provide an accurate estimate.

ADDING A NEW CONTACT
  • Log in to www.rajapindah.com by clicking on the Admin Login Button.
  • Navigate to the 'Contact' menu under the CRM Module located on the left side panel.
  • Click on 'Contact' to access the contact management page.
  • Click on the 'Add a Contact' button to initiate the process. A pop-up window will appear.
  • Fill in the required details, ensuring to complete fields marked with a red asterisk.
  • Click on 'Create New Contact' to save the information. The newly added contact will appear in the list below the 'Add a Contact' button.
SEARCHING FOR A CONTACT
  • Go to the 'Contact' menu to access the contact management page.
  • Locate the search box situated at the top right corner of the page.
  • Within the search box, you'll find filter options such as Name, Email, Mobile, WhatsApp, and Contact Type.
  • Choose the desired filter based on your search preference.
  • Enter the relevant information in the search box corresponding to the selected filter.
  • Click on the 'Search' button to initiate the search process.
  • The contact matching your criteria will be displayed in the search results below.
EDITING A CONTACT
  • Access the 'Contact' menu and navigate to the contact management page.
  • Locate the contact you wish to edit in the contact list.
  • Click on the 'EDIT' button positioned on the right side of the contact entry. A pop-up window will display the contact's existing details.
  • Make necessary changes to the contact information.
  • Click on 'Edit Contact' to save the modifications. You will be redirected to the contact list page, confirming the successful editing of the contact.

Welcome to our relocation software's Estimate Feature! It's a powerful tool for both customers and office administrators, streamlining estimate management and boosting overall efficiency. Whether you're creating, editing, or searching for estimates, our software offers complete control. Users can generate estimates from the company website or the office, refine existing ones, and filter by various criteria for easy management.

The software facilitates two distinct processes for creating estimates, catering to different user roles:

  • Request for Estimate (RFE): These estimates originate from potential customers via the company's website. Each RFE is assigned a unique number prefixed with "RFE." Initiated by customers clicking the "Request for Estimate" button, these estimates provide pricing information and details relevant to relocation needs.
  • Office Estimate (OEST): Generated by office administrators, OESTs respond to inquiries received through phone calls or emails. Each office-generated estimate bears the prefix "OEST," distinguishing it from website-originated estimates. Tailored to specific customer inquiries, OESTs provide personalized pricing and service details.

Both types of estimates, identified by their respective prefixes, are consolidated into a single list. However, office administrators can easily differentiate between them by their prefixes. This organizational distinction ensures clarity and transparency, enabling users to discern between estimates sourced from the website and those initiated internally. Let's dive into the details of how to make the most of this feature.

WHAT ARE ESTIMATE STATUS

Estimate statuses serve as indicators of the progress and status of each estimate within the system. They provide valuable insights into the stage of the estimation process, helping the company manage and track estimates effectively. Here are the various estimate statuses and their significance:

  • Draft-Office: Estimates in the draft stage, awaiting further action. These estimates are in the initial phase of creation and are yet to be finalized or submitted for review.
  • In Progress: Estimates currently being worked on or reviewed. This status indicates that the estimate is actively being processed or reviewed by staff members.
  • Revision Requested: Estimates requiring revisions based on customer feedback. This status highlights estimates that need adjustments or modifications based on feedback received from customers or internal reviews.
  • Accepted (converted to Quotation): Estimates that have been accepted by the customer and converted into quotations. This status signifies that the customer has agreed to the estimate terms and conditions and it has progressed to the quotation stage.
  • Expired: Estimates that have reached their expiry date and require updating or renewal. This status alerts staff members that the estimate has surpassed its validity period and may need to be revised or renewed to remain relevant.

By utilizing these estimate statuses, the company can effectively manage the estimation process, track the progress of each estimate, address customer feedback promptly, and ensure timely follow-up on expired estimates. This proactive approach enhances customer satisfaction, streamlines internal workflows, and ultimately contributes to the company's overall efficiency and success.

CREATING A NEW ESTIMATE
  • Log in to www.rajapindah.com by clicking on the Admin Login Button.
  • Navigate to the 'Estimate' menu under the Estimate Module located on the left side panel.
  • Click on 'Estimate' to access the estimate management page.
  • Click on the 'Create New Estimate' button to initiate the process. A form will appear.
  • Fill in the required details, ensuring to complete fields marked with a red asterisk.
  • Click on 'Save' or 'Create New Estimate' to save the information. The newly created estimate will be added to the list of estimates.
EDITING AN ESTIMATE
  • Go to the Estimate section and locate the estimate you want to edit.
  • Click on the "Edit" button next to the respective estimate.
  • Make the necessary changes to the estimated details.
  • Save the changes to update the estimate in the system.
SEARCHING FOR AN ESTIMATE
  • Log in to www.rajapindah.com by clicking on the Admin Login Button.
  • Navigate to the 'Estimate' section of the software.
  • Here, you'll find a list of estimate requests submitted by potential customers.
  • To search for a specific estimate:
    a. Access the search filters located within the Estimate section.
    b. Choose the criteria you want to search by, such as customer, estimate date, or job priority.
    c. Enter the relevant information into the corresponding search fields.
    d. Click on the "Search" button to apply the selected filters and view the filtered results.
  • Review the filtered estimates based on your search criteria.
Opportunity Inbox

Welcome to the Opportunity Inbox feature of our relocation software! This inbox serves as a centralized hub for managing estimate requests submitted by potential customers through the "Request a Free Estimate" button on our website.

It enables relocation company office admins to review, confirm, edit, and convert estimates to quotes seamlessly. With the ability to track estimate statuses and search for requests based on various criteria, you'll have full control over managing potential opportunities. Let's dive into the details of how to effectively utilize this feature.

WHAT ARE OPPORTUNITY STATUSES

Opportunity statuses provide insights into the progress and current state of each estimate request within the system. These statuses help the company effectively manage and track estimate requests from submission to completion. Here are the various opportunity statuses and their significance:

  • New: Newly submitted estimate requests by customers from the Raja Pindah website and awaiting review. This status indicates that the estimate request is fresh and has not yet been processed or reviewed by staff members.
  • Accepted: Estimates that have been confirmed by the customer and converted. This status signifies that the customer has accepted the estimate terms and conditions, leading to its conversion into a confirmed estimate.
  • Converted to Estimate and Sent: Estimate requests that have been confirmed and converted into quotes and sent to customers by the office admin. This status indicates that the estimate request has progressed to the quotation stage and has been sent to the customer for review and confirmation.
  • In Progress: Estimates being worked on or revised. This status highlights estimate requests that are currently undergoing internal processing, revision, or review by staff members.
  • Expired: Estimate requests that have reached their expiry date and require attention. This status alerts staff members that the estimate request has surpassed its validity period and may need to be revisited or renewed to remain relevant.

By utilizing these opportunity statuses, the company can effectively monitor the progress of each estimate request, address customer needs promptly, and ensure timely follow-up on expired requests. This proactive approach enhances customer satisfaction, streamlines internal workflows, and contributes to the overall efficiency and success of the company.

REVIEWING AND CONFIRMING ESTIMATE REQUESTS
  • Log in to www.rajapindah.com by clicking on the Admin Login Button.
  • Navigate to the 'Opportunity Inbox' section under the Estimate Module located on the left side panel.
  • Click on 'Opportunity Inbox' to access the inbox page.
  • Here, you'll find a list of estimate requests submitted by potential customers.
  • Review each request and confirm the estimate by converting it into an active opportunity.
SEARCHING FOR A REQUESTED ESTIMATE
  • Navigate to the 'Opportunity Inbox' section under the Estimate Module located on the left side panel.
  • Click on 'Opportunity Inbox' to access the inbox page.
  • Here, you'll find a list of estimate requests submitted by potential customers.
  • To filter estimate requests, utilize the following search filters:
    a. Customer: Filter estimate requests by specific customers.
    b. Customer Type: Narrow down estimates based on customer types.
    c. Estimate Date: Search for estimate requests submitted within a certain date range.
    d. Expiry Date: Find estimate requests with expiry dates falling within a specified timeframe.
    e. Job Priority: Filter estimate requests based on their priority level.
    f. Status: View estimate requests based on their current status.
  • Select the desired filter(s) and input the relevant information or date range into the corresponding search field(s).
  • Click on the 'Search' button to view the filtered results.
  • Review the filtered estimate requests based on your search criteria.
EDITING A REQUESTED ESTIMATE
  • Access the Opportunity Inbox and locate the estimate you want to edit
  • Click on the 'Edit' button below of the respective estimate no. If you can't find it, use the search functionality.
  • Communicate with the customer and make the necessary changes, if required, to the estimate details.
  • Save the changes to update the estimate in the system or convert to quote.
CONVERTING A REQUESTED ESTIMATE TO A QUOTE
  • Navigate to the 'Opportunity Inbox' and locate the estimate you want to convert.
  • Click on the 'Request no.' located at the first column of the table to view the estimate details.
  • Fill in any additional details required for the quote, such as pricing and terms.
  • Make sure to click on the 'Convert to Quote' button next to the respective estimate.
  • Send the quote to the customer for review and confirmation.
